End the meeting with an action plan

- If I had a dime for every meeting that finishes in the next hour that ends without a clear action plan and next steps? I would never need to work again. If we want better meetings, make sure when people close the meeting tool they know what is happening next. To get that clear, mutual understanding, you need a simple action plan. What, who, when. That is what you need in that post meeting action plan. What is going to be done, by who and by when. Keep it visual. Before the meeting starts, prepare a simple slide with the three column table of what, who and when as the headings. Keep it ready to share on screen and toggle to it when needed. Complete it as you go. As items are identified, type them into the action plan. You don't have to fill in all three columns during the flow of the meeting. Capture the what, and add the who if someone volunteers immediately, but then don't finish without it. Before the meeting is over, put the action plan back on the screen. Don't end the meeting until there is a who, and when for every what. Only then will you have mutual understanding and accountability for the next steps identified in the meeting. Share it immediately. Make sure everyone knows where this plan is stored or send it to everyone via email, depending on your technology and common practices. Bring it back for the next meeting. Since we all want to make sure these action items get completed, include the action plan at the start of the next meeting, quickly going through and marking items completed or providing very brief updates. Then use that same table to add new action items in that meeting. This gives you a living document of the agreed to actions and a much better chance that people will actually get things done between meetings. When you use your action plan as I'm suggesting, your meetings will be less frustrating and more will be accomplished as a result.
